How to import a bank statement into QuickBooks Online
In QuickBooks Online, open Bank transactions, select Link account ▼ → Upload from file, choose a CSV, QBO or OFX file, map the columns and pick the transactions to add. The file must be in English, 350 KB or smaller and no more than 1,000 lines. If all you have is a PDF, convert the bank statement to a QuickBooks CSV first, or try Intuit's own PDF upload in the US version.

Step by step
- 1
Prepare the file
Download the period from online banking as CSV or QBO, or convert the PDF statement. Make sure it doesn't overlap with transactions already in QuickBooks for that account (see importing transactions older than the bank feed, below).
- 2
Open Bank transactions
In the current navigation: All apps → Accounting → Bank transactions. Select Link account ▼ → Upload from file. If no account is connected yet, choose the option to upload transactions manually.
- 3
Upload and choose the account
Select Drag and drop or select files, pick your file and select Continue. Choose the QuickBooks account from the QuickBooks account ▼ list — or Add New — and select Continue.
- 4
Map the columns (CSV only)
Tell QuickBooks which column is the date (and its format), the description, and either one Amount column or separate Credit and Debit columns. QBO and OFX files skip this step.
- 5
Select the transactions to import
Tick the transactions you want, select Continue, confirm with Yes and finish with Done.
- 6
Review, categorize and match
The transactions wait on the Bank transactions page for review. Match them to existing entries, categorize and add the rest, then reconcile the account against the statement's closing balance.
Which files can you upload?
Intuit's help page on manually uploading transactions lists these options for the US version:
| File | What to know |
|---|---|
| QBO (Web Connect) | Intuit's recommended format. No column mapping, and dates and amounts can't be misread. See what OFX, QFX and QBO files are. |
| QFX / OFX | Same family as QBO; accepted for manual upload |
| CSV / TXT | Works with any bank, but has to follow the 3- or 4-column format below |
| PDF or image (US) | QuickBooks' AI extracts the transactions from an English-language account statement |
Regional versions differ: the UK help lists CSV, QFX, QBO, OFX and TXT; the Australian help lists CSV, TXT, QBO and OFX. The PDF and image upload is described only in the US help.
QuickBooks Online CSV import format
A CSV must have either 3 columns (Date, Description, Amount) or 4 columns (Date, Description, Credit, Debit). In the 3-column layout, money out is negative and money in is positive, as in the example below. These rules prevent most failed uploads:
- Dates: use one format for every row, choose the same format when mapping, and remove weekday text such as "20/11/2022 TUE".
- Amounts: plain numbers — no currency symbols, and set the Excel column format to General rather than Currency.
- Columns: delete extra columns such as Balance or Reference, and don't use the word "amount" in Credit and Debit headers.
- Zeros: leave empty cells blank instead of 0.00 in the 4-column layout.
- Mac: save the file as a Windows CSV.
- Credit cards: upload into the credit card account, not a bank account. Payments to the card reduce the balance, so they can appear with the opposite sign to what you expect.
| Date | Description | Amount |
|---|---|---|
| 03/10/2026 | Office supplies — Staples | -84.20 |
| 05/10/2026 | Client payment — Acme Ltd | 1250.00 |
| 07/10/2026 | Monthly service fee | -12.00 |
Our QuickBooks Online CSV export uses the 3-column layout (Date, Description, Amount), with the date format you pick — so it maps on the first try.
Upload limits
Intuit sets these limits for each manual upload:
- Language: the file must be in English.
- Size: 350 KB or less per file.
- Rows: up to 1,000 lines per upload (Intuit's UK help notes 500 for QuickBooks Sole Trader).
- Amounts: a transaction amount with 12 or more digits is rejected.
For a larger history, split the period into smaller date ranges and upload them one after another — for example one file per quarter.
How to import transactions older than the bank feed
A connected bank feed only goes back so far: Intuit says download timespans vary by bank, from 90 days up to 24 months. Anything older — last year's statements for a new client, or a closed account — has to be uploaded from a file.
The rule that prevents duplicates is simple: the uploaded file must end the day before the oldest transaction the feed brought in, and a file that adds newer transactions should start the day after the last one already there. If the history you're adding is older than the account's opening balance date in QuickBooks, Intuit's guidance is to edit the opening balance and its date so the money isn't counted twice (reconcile transactions older than the opening balance).
Old statements are usually PDFs. Convert them all at once, export one QuickBooks CSV limited to the exact date range you need, and upload it in batches under the 1,000-line limit.
QuickBooks PDF upload: when to use a converter instead
The US version of QuickBooks Online can read a PDF or photo of an account statement in English, from any bank, and Intuit notes that its team may review the statement. For an occasional English statement that's often all you need.
A separate converter is worth it when the statement isn't in English, your QuickBooks region doesn't offer PDF upload, you're catching up a year of statements at once, or you want to check the numbers before they reach the books. Bank Statement Categorizer checks every statement against its opening and closing balances and flags rows that don't add up with their page number, so you only upload what's verified. See a comparison with QuickBooks PDF import.
Why does the upload fail?
| Problem | Fix |
|---|---|
| "The uploaded file contains invalid transaction amount information" | An amount has 12 or more digits. Remove that row and enter the transaction manually. |
| "The uploaded file is of a different type than these accounts" | You chose an account of the wrong type, e.g. a credit card file for a bank account. Cancel and pick the right account. |
| Columns can't be mapped | Delete extra columns and rename the headers to Date, Description and Amount (or Credit and Debit). |
| Dates are rejected or wrong | The format doesn't match the one chosen at mapping. Format the column as Short Date and remove weekday text. |
| Amounts are rejected | Remove currency symbols and change the cell format from Currency to General. |
| File too large | Split it by date range so each file is under 350 KB and 1,000 lines. |
| "We were unable to upload the file…" | The upload timed out. Try again later. |

QuickBooks Desktop and accountants' workflows
QuickBooks Desktop doesn't use this upload screen. It imports Web Connect (.qbo) files via Banking → Bank Feeds → Import Web Connect Files, and we can export a .qbo file from a PDF statement for that. Bookkeepers catching up several clients will find the end-to-end routine in bank statement conversion for accountants.
Questions
How do I upload a bank statement to QuickBooks Online?
Go to Bank transactions, select Link account ▼ → Upload from file, upload a CSV, QBO or OFX file, choose the account, map the columns and select the transactions to import.
Which CSV format does QuickBooks Online accept?
Three columns (Date, Description, Amount) or four (Date, Description, Credit, Debit), with one date format throughout and plain numbers without currency symbols.
What are the upload limits?
The file must be in English, 350 KB or smaller and no more than 1,000 lines. Split longer periods into several files by date range.
How do I import a QBO file into QuickBooks Online?
The same way as a CSV: Link account ▼ → Upload from file. QBO files need no column mapping, which is why Intuit recommends them.
How do I import transactions older than the bank feed?
Upload a file that ends the day before the feed's oldest transaction. If it's older than the account's opening balance date, adjust the opening balance so nothing is counted twice.
Why is the QuickBooks PDF upload not working for my statement?
Intuit's PDF upload is described for English statements in the US version. For other languages or regions, or many statements at once, convert the PDF to a QuickBooks CSV and upload that.
