How to convert a bank statement PDF to Excel

First check whether your bank lets you download the same period as CSV or Excel — that's free and exact. If you only have the PDF, Excel's Get Data → From PDF handles clean digital statements, Adobe Acrobat can read scans, and a bank statement to Excel converter adds payees, categories and a check against the statement's own balances.

Step by step

  1. 1

Look for a CSV or Excel download first

Log in to online banking and check whether the period you need can be exported as CSV, Excel or OFX. If it can, you don't need to convert anything.

  2. 2

Check what kind of PDF you have

Try to select a line of text in the PDF. If you can, it's a digital PDF and most methods work. If you can't, it's a scan or photo and needs text recognition (OCR).

  3. 3

    Pick a method

Use the comparison below: Excel's own import for one clean digital statement, OCR tools for scans, a dedicated converter for many statements or when the numbers must be right.

  4. 4

    Clean up the columns

Make sure dates are real dates, amounts are numbers in one signed column, wrapped descriptions sit on one row, and repeated page headers and subtotals are gone.

  5. 5

Check the totals against the statement

Opening balance + money in − money out must equal the closing balance printed on the statement. If it doesn't, a row is missing, duplicated or has the wrong sign.

Can I export my bank statement to Excel from the bank?

Often, yes — and it's the best option when it exists. For example, Chase lets you download transactions as CSV for the last two years, Wells Fargo offers CSV for up to 18 months on deposit accounts, and HDFC Bank's NetBanking downloads statements as Excel or delimited text as well as PDF. See the pages for Chase, Wells Fargo and HDFC Bank.

The limits are the download window and the source. Older periods, closed accounts, statements a client or lender sends you, and paper statements only exist as PDFs or scans — that's when the methods below come in.

Import a PDF bank statement into Excel with Get Data

In Excel, choose Data → Get Data → From File → From PDF and pick the statement. The Navigator lists the tables Excel found; select one and choose Load, or Transform Data to clean it in Power Query first. By default, similar tables on consecutive pages are merged into one.

Availability is the catch. According to Microsoft's list of Power Query sources, the PDF connector is in Microsoft 365 for Windows, but not in Excel 2016 or 2019 or in Excel for Mac, and Excel for the web only reads PDFs stored in SharePoint.

It works best on simple digital statements. A description that wraps onto a second line becomes a second row with no amount, debit and credit columns arrive separately, and "balance brought forward" lines and page totals end up between transactions. It reads the text in the PDF, so don't count on it for scans.

Convert a bank statement to Excel with Adobe Acrobat

In paid Acrobat (Standard or Pro), open the statement and choose Export PDF → Spreadsheet → Microsoft Excel Workbook → Export. Adobe says Acrobat runs text recognition automatically when the PDF contains scanned text, which makes it one of the few desktop routes for scans. Adobe also offers a free online PDF-to-Excel tool, and a password-protected statement has to be unlocked first — see how to remove the password from a bank statement PDF.

Acrobat and generic online converters copy what the page looks like, not what the transactions are: the bank's header block, merged cells, page headers in the middle of the data, and amounts that are sometimes text. Expect to restructure the sheet. Before uploading a statement to any free website, check who runs it and how long it keeps files.

Free methods: copy and paste, Google Docs and ChatGPT

Copy and paste works for a page or two of a digital PDF: select the rows, paste into Excel, then split them with Data → Text to Columns. It gets tedious quickly and often merges everything into one column.

Google Drive can OCR a PDF: right-click it and choose Open with → Google Docs. Google's help notes that files of 2 MB or less work best and that tables are not likely to be detected, so you get lines of text rather than columns.

ChatGPT and similar AI chats can read a statement and return a table, which is impressive for a single page. On longer statements, rows can be dropped or amounts changed without any warning, and there's no check against the balances unless you do it. We compare the two approaches in ChatGPT vs a bank statement converter.

Why columns and descriptions break when converting

  • Wrapped descriptions: long payee texts span two or three lines, which tools read as extra rows.
  • Debit and credit columns: many banks print money out and money in separately, or add CR/DR after the amount. Excel needs one signed column: with debits in C and credits in D, =IF(C2<>"", -C2, D2) combines them.
  • Repeated headers and subtotals: column titles, page totals and "balance carried forward" repeat on every page.
  • Dates: "12 Mar" has no year, and 03/04/2026 means different days in the US and Europe. Use Text to Columns with the right date order (MDY or DMY).
  • Number formats: 1.234,56, (45.00) for negatives or a trailing minus turn into text. SUM ignores text, so totals silently come out low.

How to check the result against the statement balances

Whatever method you use, check before you trust the spreadsheet. With amounts in column E and the statement's running balance in column F, these two checks catch almost every conversion error:

  • Whole statement: =ROUND(Opening + SUM(E:E) - Closing, 2) must be 0, using the opening and closing balances printed on the statement.
  • Row by row: in a helper column, =ROUND(F2 + E3 - F3, 2) should be 0 on every row. The first row that isn't 0 is where a transaction is missing, duplicated or has the wrong sign.

This proves the transcription is complete. Comparing the statement with your own records is a separate job — see bank reconciliation in Excel.

Best for many statements: a converter that checks itself

  1. Upload one PDF or a year of statements — digital, scanned, phone photos or password-protected.
  2. Every transaction is extracted with a clean payee name and a category, then checked: opening balance + money in − money out = closing balance, and the running balance on every row.
  3. Before paying, you see the transaction count, the balance check result and the first 3 rows. Rows that don't add up are flagged with their page number.
  4. Choose Export → Excel: a Transactions sheet with real dates and numbers, and a Summary sheet by category and month. Several statements can go into one workbook.

Pages are paid in packs or plans — see pricing. For scans and photos specifically, see scanned bank statements to Excel.

Questions

Can Excel open a PDF bank statement directly?

Yes, in Microsoft 365 for Windows: Data → Get Data → From File → From PDF. It isn't available in Excel for Mac or Excel 2016/2019, and it works best on simple digital statements.

Can I download my statement as Excel or CSV from my bank instead?

Usually, for recent periods. Look for Download, Export or Statements in online banking. Older periods, closed accounts and statements from someone else often exist only as PDFs.

What is the fastest free method?

A CSV download from the bank. If you only have a digital PDF and Microsoft 365 on Windows, Get Data → From PDF is next; copy and paste is fine for a page or two.

Why do columns and descriptions break when converting?

Statements are laid out for printing: descriptions wrap, debits and credits sit in separate columns, and headers and subtotals repeat on every page. Generic tools copy that layout instead of the transactions.

How do I check the result against the statement balances?

Opening balance plus the sum of all amounts must equal the closing balance. A running-balance check on each row shows exactly where a row is missing or has the wrong sign.

Can I convert a scanned bank statement to Excel?

Yes, but it needs text recognition: paid Acrobat, Google Docs (which loses the table) or a converter that reads scans and checks the balances, like our scanned statement converter.
