Convert bank statements for QuickBooks Online and QuickBooks Desktop
Upload a PDF, scan or photo of any bank or credit card statement and download a file QuickBooks imports: a 3-column CSV for QuickBooks Online's bank upload, or a .qbo Web Connect file for QuickBooks Desktop. Every statement is balance-checked before it goes anywhere near your books.

Step by step
- 1
Upload the statements
PDFs from any bank or card issuer, scans, phone photos or password-protected PDFs. Upload a whole year at once if you're catching up.
- 2
Check the balance
Each statement is checked: opening balance + money in − money out must equal the closing balance. Rows that don't add up are flagged with their page number, so you fix them before QuickBooks sees them.
- 3
Export for QuickBooks
Choose QuickBooks Online CSV or QuickBooks Desktop (.qbo). Combine several statements into one file and limit it to a date range if the bank feed already covers part of the period.
- 4
Import into QuickBooks
In QuickBooks Online use Bank transactions → Link account → Upload from file. In QuickBooks Desktop use File → Utilities → Import → Web Connect Files.
Which QuickBooks file do you need?
QuickBooks Online and QuickBooks Desktop import bank transactions in different ways, so there are two exports:
| You use | Export | Where it goes in QuickBooks |
|---|---|---|
| QuickBooks Online | QuickBooks Online CSV — Date, Description, Amount | Bank transactions → Link account → Upload from file |
| QuickBooks Desktop (Pro, Premier, Enterprise) | .qbo Web Connect file | File → Utilities → Import → Web Connect Files |
"PDF to QBO" means a .qbo file — QuickBooks' Web Connect format — not QuickBooks Online. A plain OFX file isn't enough for QuickBooks Desktop: it only imports Web Connect files that name a bank from Intuit's list, which is what the .qbo export does.
Upload a bank statement to QuickBooks Online
Once you have the QuickBooks Online CSV, the upload takes a couple of minutes. Menu names below are from Intuit's current layout; older layouts reach the same page through Banking or Transactions → Bank transactions.
- Go to All apps → Accounting → Bank transactions and select the account's tile.
- Open the Link account dropdown and choose Upload from file (on an unconnected account you may see Upload transactions manually).
- Drag in the CSV and select Continue.
- Choose the QuickBooks account the transactions belong to — or Add new — then Continue.
- Map the columns: Date to Date, Description to Description, and one Amount column. Make sure the date format shown matches the file.
- Tick the transactions to import, select Continue, then Yes and Done. They appear under For review, where you categorize, match or add them.
Intuit's step-by-step: Manually upload transactions into QuickBooks Online. For the full walkthrough, including fixes for common upload errors, see how to import bank statements into QuickBooks Online.
QuickBooks bank statement CSV format and upload limits
QuickBooks Online accepts a CSV in one of two layouts: 3 columns (Date, Description, Amount) or 4 columns (Date, Description, Credit, Debit). Intuit also asks for one date format throughout the file, no zeros in amount cells, and — in its help article — a file in English, no larger than 350 KB and no more than 1,000 lines per upload.
The export uses the 3-column layout. Dates are MM/DD/YYYY or DD/MM/YYYY, following your date setting, so pick the one your QuickBooks company uses. The Description is the clean payee name followed by the original statement text, so you can still recognise each line when you categorize it in QuickBooks. Amounts are plain signed numbers with two decimals: negative for money out, positive for money in.
More than 1,000 transactions? Export the period in parts — one file per quarter, for example — using the date range option, and upload them one after another.
Import a .qbo file into QuickBooks Desktop
The .qbo export is a Web Connect file: an OFX statement with Intuit's bank identifier added. It uses Intuit bank id 3000, and when you import it QuickBooks asks which of your accounts the transactions belong to.
Go to File → Utilities → Import → Web Connect Files and select the .qbo file. When QuickBooks asks where to put the transactions, choose your existing bank or credit card account (or create a new one) and continue. The transactions then wait in the Bank Feeds center, where you add them or match them to entries already in your books.
- Card statements are written as credit card files, so import them into a credit card account, not a checking account.
- Each transaction carries a stable unique ID (FITID) — the OFX standard's way for software to recognise a transaction it has already seen.
- Web Connect import is part of QuickBooks' bank feeds, which Intuit only supports in current Desktop versions. If the menu item is missing or the import fails, check your version first.
Avoid duplicates with the bank feed
Duplicates happen when the uploaded file overlaps transactions that the bank feed has already downloaded, or that someone entered by hand. When you connect a bank, QuickBooks usually brings in only recent history; Intuit notes that a manual upload can bring in more than 90 days of transactions. That makes the clean split: the bank feed covers the recent period, your converted statements cover everything before it.
Look up the date of the oldest transaction the feed downloaded. Export your statements with a date range that ends the day before it, and nothing will overlap. If you're adding to an account that already has transactions, start the range the day after the last one. In the For review list, QuickBooks suggests matches to existing entries — choose Match for those instead of Add.
Credit card statements in QuickBooks
Card issuers' own downloads often show charges as positive amounts and payments as negative ones, because from the bank's side a charge increases what you owe. Intuit's own help warns that payments may appear as negative amounts in card files. That's why converted card files so often land in QuickBooks with charges and payments swapped.
The export signs every transaction from your side, for bank and card accounts alike: purchases, fees and interest are negative, payments and refunds are positive. In QuickBooks Online, upload the file to the credit card account, and before you confirm the batch check that one purchase you recognise shows as a charge, not a payment. Why not use QuickBooks' own PDF statement upload?
QuickBooks Online can now read PDF and image statements itself, and for a clean English-language statement that may be all you need. Intuit's help says these statements must be in English.
A separate converter is worth it when the statement is in another language, when you use QuickBooks Desktop, when you need the same transactions in Excel for a client or a lender, or when you want proof before importing: the balance check shows that opening balance + money in − money out equals the closing balance, and points to the page of any row that doesn't fit. Questions
Which file does QuickBooks Online accept for bank uploads?
CSV files with 3 columns (Date, Description, Amount) or 4 columns (Date, Description, Credit, Debit), plus QBO and QFX files. Export the QuickBooks Online CSV and upload it from Bank transactions → Link account → Upload from file.
Can I convert a PDF bank statement to a QBO file?
Yes. Export QuickBooks Desktop (.qbo) and import it with File → Utilities → Import → Web Connect Files. QuickBooks asks which account to put the transactions in.
How do I avoid duplicates with the bank feed?
Export only the period the feed doesn't cover: use a date range that ends the day before the feed's oldest transaction. In For review, match anything QuickBooks flags as already entered.
Can I backfill transactions older than the bank feed?
Yes — that's the main reason to upload statements. Convert the older PDFs, combine them into one file and upload it to the same account.
How are credit card charges and payments signed?
From your side: charges, fees and interest are negative; payments and refunds are positive. Upload card files to the credit card account in QuickBooks.
Do the categories carry over into QuickBooks?
QuickBooks assigns its own accounts during review, so the QuickBooks file carries the clean payee and the statement text rather than our category. Use the Excel export when you need the categories as well.
What does it cost?
You pay per statement page with transactions — 100 pages for $12, or $29 a month for 500 pages — and see the transaction count and balance check before paying. See pricing.
