QuickBooks PDF bank statement import vs converting first
QuickBooks Online can now import a PDF or photo of a bank statement directly: its AI extracts the transactions and you review them before saving. The statement has to be in English and it only works in QuickBooks Online — for anything else, or when the upload fails, convert the statement to a QuickBooks CSV or .qbo file first.

How the QuickBooks Online PDF upload works
Intuit's help article Manually upload transactions into QuickBooks Online (updated August 2026) describes it like this:
- Go to All apps, then Accounting, then Bank transactions.
- Open the Link account dropdown and select Upload from file.
- Upload the statement: a PDF or an image such as JPG, PNG or HEIC. The statement can be from any bank, as long as it's in English.
- Choose the QuickBooks account the transactions belong to, or add a new one, and select Continue.
- Compare the statement and the extracted data side by side, edit anything flagged for review, and select Save.
- Match and categorize the uploaded transactions in Bank transactions, then reconcile.
If you have a choice, a file downloaded from online banking (QBO, QFX or CSV) is still the most reliable input: it's the bank's own data, with nothing to read from a page.
What are the limits of QuickBooks' PDF upload?
- English only. Intuit states the statement must be in English. Statements in Spanish, French, German or any other language are out.
- QuickBooks Online only. QuickBooks Desktop imports bank transactions from Web Connect (.qbo) files, not PDFs.
- Region. The article above is Intuit's US help. Intuit's UK help still says PDF statements must be converted to QBO, QFX, OFX or CSV before import, so check what your QuickBooks region offers.
- The data stays in QuickBooks. You get transactions in the bank register, not a spreadsheet for working papers, a Xero file or an Excel summary.
- No tie-out described. The article describes a side-by-side review and flagged items; it doesn't mention checking the extracted transactions against the statement's opening and closing balance, so do that yourself before saving.
When the QuickBooks PDF upload is not working
If the upload fails, or the result doesn't match the statement, the cause is usually one of these:
| Problem | What to do |
|---|---|
| Statement isn't in English | Convert it to a QuickBooks CSV first; language doesn't matter there |
| PDF is password-protected | Save an unlocked copy — see how to remove a password from a bank statement PDF |
| Faded scan or skewed phone photo | Rescan flat at good resolution, or convert it and check the balance before importing — see scanned statements |
| One PDF holds several accounts | Split it so each account's transactions go to the right QuickBooks account |
| Transactions missing or duplicated | Compare opening + money in − money out with the closing balance to find which page is off |
| You need QuickBooks Desktop or Xero | Use a .qbo Web Connect file for Desktop, or a Xero CSV |
The alternative: convert first, then import
Converting first moves the checking step before QuickBooks. Upload the statement here, and every transaction is extracted and balance-checked: opening balance + money in − money out must equal the closing balance, and the running balance is checked on every row. Rows that don't fit are flagged with their page number, so you fix them before anything reaches your books.
Then export QuickBooks Online CSV — three columns, Date, Description and Amount — and upload it through the same Upload from file screen. For QuickBooks Desktop, export a .qbo Web Connect file instead. The full walkthrough is in how to import bank statements into QuickBooks Online.
Intuit limits transaction files to 350 KB and 1,000 lines per upload. For a long catch-up, export the year in two or more date ranges.
QuickBooks PDF upload vs converting first
| QuickBooks Online PDF upload | Convert first, then import | |
|---|---|---|
| Cost | Included in your QuickBooks Online subscription | Per page with transactions; preview before paying |
| Statement language | English only | Any language and number format |
| Inputs | PDF, JPG, PNG, HEIC | PDF (digital, scanned, password-protected), JPG, PNG, WebP, plus CSV, Excel, OFX, QIF, CAMT.053 and MT940 |
| Balance check | Not described in Intuit's article | Opening + in − out = closing, running balance on every row |
| Several accounts in one PDF | Not described | Split into one statement per account |
| Where it can go | QuickBooks Online | QuickBooks Online CSV, .qbo for Desktop, Xero CSV, Excel, CSV, OFX, QIF |
| Many statements at once | Not described | Many files per upload; combine them into one export by date range |
Which should you use?
If you work in QuickBooks Online, the statement is in English and it's a few months for one account, try the built-in upload first — it costs nothing extra. Check that the imported transactions add up to the statement's closing balance before you reconcile.
Convert first when the statement isn't in English, when you use QuickBooks Desktop or also need Excel or Xero, when a batch of scans and photos needs checking before it touches the books, or when you're catching up a year for a client. That's the work accountants and bookkeepers bring here most.
Questions
Can QuickBooks Online import a PDF bank statement?
Yes. In Bank transactions, choose Link account → Upload from file and upload a PDF or a JPG, PNG or HEIC image. Intuit says the statement can be from any bank as long as it's in English.
What are the limits of QuickBooks' PDF upload?
It needs English statements, it's for QuickBooks Online only, and the data goes straight into QuickBooks rather than a file you can reuse. Intuit's UK help still asks for PDFs to be converted first, so availability may depend on your region.
What can I do when the PDF upload fails or the statement isn't in English?
Convert the statement to a QuickBooks Online CSV and upload that instead. The CSV import accepts files up to 350 KB and 1,000 lines with Date, Description and Amount columns.
Can QuickBooks Desktop import a PDF bank statement?
No. QuickBooks Desktop imports Web Connect (.qbo) files. Convert the PDF to a .qbo file and import that.
Does the QuickBooks CSV include categories?
No. QuickBooks Online's three-column format holds only date, description and amount, so you categorize in Bank transactions, where bank rules can help.
