Bank statements for a mortgage: what lenders ask for and how to prepare them
For a conventional US purchase loan, lenders ask for the most recent two full months of statements for each account holding your down payment and reserves; self-employed borrowers applying for a bank statement loan commonly provide 12 or 24 months, as set by the lender. Underwriters read them for steady income, the source of your funds, and anything that needs explaining.

Step by step
- 1
List the accounts the lender needs
Usually every checking, savings and investment account you'll use for the down payment, closing costs and reserves, plus the account your income is paid into. If money moves between accounts, the lender will want both sides.
- 2
Download complete official statements
Get the monthly PDF statements from online banking, with every page — including pages that are blank or only contain terms. Fannie Mae's rules, for example, require statements that identify the bank and you as the account holder, show at least the last four digits of the account number, the period, all deposits and withdrawals, and the ending balance.
- 3
Read them before the underwriter does
Go through each month and mark large or unusual deposits, transfers between your own accounts, overdrafts and returned payments, and recurring payments that aren't on your credit report.
- 4
Gather the paper trail
For each deposit you marked, find the source: a payslip, a bill of sale, a tax refund notice, a gift letter, or the statement of the account the money came from. Write a short, factual letter of explanation where your lender asks for one.
- 5
Keep the set current
Statements go stale. Under Fannie Mae's rules, if your latest statement is more than 45 days older than the application date, the lender asks for a more recent bank-generated record — so download each new statement as soon as it's issued.
How many months of bank statements for a mortgage?
The exact number is set by the loan program and the lender. For conventional loans, Fannie Mae's Selling Guide sets the baseline that many US lenders follow:
| Situation | What's usually asked for |
|---|---|
| Conventional purchase loan (Fannie Mae rules) | The most recent full two months (60 days) of activity for each asset account, unless the automated underwriting findings ask for something else |
| Conventional refinance (Fannie Mae rules) | The most recent full month (30 days) of activity |
| FHA loan | A verification of deposit and the most recent statement for each account, or the two most recent statements if no verification of deposit is used and the previous month's balance isn't shown |
| Bank statement loan (self-employed) | Commonly 12 or 24 months of personal or business statements, set by each lender's program |
| UK | Lender-specific. Nationwide, for example, says it may ask for up to 6 months depending on your circumstances |
This page explains what lenders commonly ask for. It isn't financial or legal advice — your loan officer's document list is the one that counts.
What do mortgage lenders look for in bank statements?
- Ownership: your name on the account and an account number that matches your application.
- Enough money, held for long enough: funds for the down payment, closing costs and reserves that have been in the account for the period covered by the statements (often called seasoned funds).
- Regular income: salary or business deposits that match your payslips, tax returns or the income you stated.
- Large or unusual deposits whose source isn't obvious.
- Overdrafts and returned (NSF) payments, which can raise questions about how you manage money.
- Recurring payments to undisclosed debts, such as a monthly payment to a lender, a car loan or a private loan that isn't on your credit report.
How large deposits are explained
Under Fannie Mae's rules, a large deposit is a single deposit of more than 50% of the total monthly qualifying income for the loan. On a purchase, the lender must document that it came from an acceptable source, or leave the undocumented amount out of your verified funds; on a refinance, no explanation is required. FHA uses the same 50% threshold, and underwriters may still ask about smaller deposits that look unusual.
Payroll deposits and transfers between your own documented accounts are usually explained by the documents you already supplied. For anything else, provide the paper trail: a bill of sale, an insurance or tax refund letter, a gift letter signed by the donor with evidence of the transfer, or the statement of the account the money came from.
Never edit, retype or leave pages out of a statement you send to a lender. Altering a statement in a mortgage application is fraud. Send the bank's PDF exactly as issued.
Bank statement loans for self-employed borrowers
Self-employed borrowers whose tax returns show a low net income after business deductions sometimes apply for a bank statement loan. Instead of tax returns, the lender works out qualifying income from a year or two of deposits. These are lender-specific programs outside the standard Fannie Mae, Freddie Mac and FHA rules, so the details vary from lender to lender — but every lender still has to confirm that the deposits it counts really are income.
The calculation usually follows the same shape: add up the eligible deposits, leave out transfers between your own accounts, refunds, loan proceeds and other non-income items, and divide by the number of months. For business account statements, many lenders then apply an expense factor — a percentage treated as business costs — or use a profit-and-loss statement instead.
| Illustration (not a lender's formula) | Amount |
|---|---|
| Total deposits over 12 months | 186,000 |
| Less: transfers from savings, a tax refund and a returned customer payment | −18,000 |
| Eligible deposits | 168,000 |
| Average per month (÷ 12) | 14,000 |
| After a 50% expense factor (if the lender applies one) | 7,000 a month |
Summarize 12–24 months of statements in one workbook
Adding up two years of deposits by hand is slow, and that's the job a bank statement income calculator does. A spreadsheet with every transaction does it better, because you can see which deposits you've excluded and why.
Upload all the statement PDFs — checking, savings and business accounts — and export them as one Excel file. Each transaction has a date, a clean payee name, a category and an amount, so salary, client payments and transfers between accounts are easy to tell apart, and the Summary sheet shows totals by category and by month. Every statement is checked against its own opening and closing balances, so you know no month is missing a page. See bank statement to Excel and categorizing bank transactions. If you'd rather build the workbook yourself, how to convert a bank statement PDF to Excel compares the free methods.
The workbook is for you, your broker or your accountant to review the numbers. The lender still receives the original statements.
Preparing statements as a broker or for a client
Brokers and loan processors who collect statements from many applicants face the same work at scale: multi-account PDFs, scans, 24 months per client. Bank statement analysis for mortgage brokers covers that workflow, including how a PDF with several accounts becomes one statement per account.
Questions
How many months of bank statements do mortgage lenders need?
For a conventional US purchase loan, the most recent two full months for each account holding your down payment and reserves; one month for a refinance. Bank statement loans for self-employed borrowers commonly require 12 or 24 months, depending on the lender.
What do lenders look for in bank statements?
Proof that the money is yours and has been there for a while, regular income that matches your application, and anything that needs explaining: large deposits, overdrafts, returned payments and payments to debts not on your credit report.
How are large deposits explained?
With documents showing the source — a bill of sale, a refund letter, a gift letter with proof of transfer, or the statement of the account the money came from — plus a short letter of explanation if the lender asks.
How is income calculated for a bank statement loan?
Lenders add up eligible deposits over 12 or 24 months, exclude transfers and other non-income items, and take the monthly average, often after applying an expense factor to business accounts. Each lender sets its own rules.
Can I send a spreadsheet instead of my statements?
No. Lenders need the statements as the bank issued them. A spreadsheet is useful for checking and summarizing the numbers before you apply, not as a replacement.
How can I summarize income from 12–24 months of statements?
Convert all the statements into one Excel workbook, categorize the transactions so income and transfers are separate, and total deposits by month. The Summary sheet in our Excel export does the monthly totals for you.
