Bank statement conversion for accountants and bookkeepers

Catch-up and cleanup work starts with a pile of client PDFs, scans and phone photos. Upload them all at once, see every statement tie out against its own opening and closing balance, and export one import file for QuickBooks, Xero or Excel.

Where PDF statements still show up in bookkeeping

Bank feeds cover the day-to-day, but they only reach back as far as the bank allows — in QuickBooks Online often around 90 days, sometimes longer depending on the bank. Anything older has to come from statements or the bank's own downloads.

That gap shows up in the same few jobs again and again: a new client who hasn't touched the books for a year, a catch-up before a tax deadline, an account that was closed before anyone connected it, a feed that broke for three months, or a client abroad whose bank isn't supported by any feed. In each case you get PDFs, scans or photos, and somebody has to turn them into transactions.

A 12-month catch-up, step by step

  1. Ask for complete statements. Every page of every month, for every account and credit card — not screenshots of the transaction list. If the bank offers CSV, OFX or QBO downloads for recent months, ask for those too; they use no pages.
  2. Upload the whole batch. Drop all the files at once. Password-protected PDFs, scans, phone photos and PDFs with several accounts work; a multi-account PDF becomes one statement per account.
  3. Read the tie-out for each statement. Opening balance + money in − money out must equal the closing balance, and the running balance is checked on every row. Statements that don't add up show the rows to look at, with page numbers.
  4. Fix the flagged rows and set categories. Edit a date, amount or description against the PDF; the check re-runs when you save. Rename categories to match the client's chart of accounts and turn repeated corrections into rules.
  5. Export once. Select all the statements for the account and export one file in date order, limited to the period you're catching up.
  6. Import and reconcile. Upload the file in QuickBooks or Xero, match and categorize there, and reconcile month by month against the same statements.

Prove nothing was missed

The hard part of statement work isn't typing — it's knowing the result is complete. A skipped line at a page break or a debit read as a credit looks fine until the reconciliation is off by an amount nobody can find.

Every statement gets a visible tie-out: opening balance, total in, total out and closing balance, checked against the figures printed on the statement. When a statement doesn't balance, it doesn't cost pages, and the rows that don't fit the running balance are flagged with their page number so you go straight to the right line.

A balanced statement proves the transactions match the bank's own totals. It doesn't replace your reconciliation in the ledger — it means you start that reconciliation from complete data.

Intuit limits QuickBooks Online transaction file uploads to 1,000 lines and 350 KB per file. For a busy account, export the year in two or more date ranges.

Categories that match the client's chart of accounts

Categories start from a default list. Rename them to the client's account names, delete what you don't need and add what's missing. When you correct a transaction, you can turn it into a rule ("description contains GUSTO → Payroll") that applies to the client's future statements. Rules always win; everything else is categorized by AI.

Categories travel in the Excel and CSV exports, so a working paper or a Summary by category is ready for review. The QuickBooks Online CSV has only three columns, so for QuickBooks clients you'll still categorize in the bank feed — but you start from clean payee names instead of raw bank text.

Pricing for firms

You pay per statement page with transactions; cover pages and legal notices don't count, and re-uploading the same file within 30 days is free. Firms with steady volume use Business at $79 a month for 2,000 pages ($780 a year), or Pro at $29 a month for 500 pages. For a one-off cleanup, page packs (100 pages for $12, 500 for $39, 2,000 for $99) never expire. See pricing.

To be clear about what this isn't: there's no bank feed, no direct sync into QuickBooks or Xero and no team seats. You upload statements, check them and import a file.

Questions

How do I process a year of client PDF statements quickly?

Upload all twelve months in one go, check each statement's tie-out, fix any flagged rows, then export the whole year as one file for QuickBooks, Xero or Excel. Most of your time goes into reviewing exceptions instead of typing.

How do I prove nothing was missed?

Each statement is checked against its own balances: opening + money in − money out = closing, plus the running balance on every row. A statement that balances contains every transaction the bank printed; one that doesn't shows you which rows to check.

Which exports fit QuickBooks, Xero and Excel?

QuickBooks Online CSV (Date, Description, Amount) or a .qbo Web Connect file for QuickBooks Desktop, Xero's statement CSV, and Excel .xlsx. OFX and QIF are there for Wave, Sage and Quicken.

How is pricing for firms structured?

Business is $79 a month for 2,000 pages and Pro is $29 a month for 500 pages; page packs that never expire suit occasional cleanups. Only pages with transactions count, and statements that don't balance are free.

What happens to client statements after upload?

The uploaded file is processed in memory and never stored. The extracted transactions stay in your account until you delete them or auto-delete removes them after 7, 30, 90 or 365 days. See security.

Can it read statements in other languages?

Yes. Statements from any bank in any language work, including number formats like 1.234,56 and PDFs that hold several accounts or currencies.
