Convert HSBC UK bank statements to Excel
HSBC UK lets you download transactions as Excel or CSV from the transaction list, and keeps up to six years of PDF statements in online and mobile banking. Use the download for recent transactions; for older months and for statements a client sends you, convert the PDFs here to Excel, CSV or Xero — each one checked from its opening to its closing balance.

Step by step
- 1
Download the statements
In online banking, select Statements from the quick links, choose the account and regular statement, then the year and month — the PDF downloads straight away. In the app, select the account and tap View statements.
- 2
Upload them here
Add one statement or six years of them. Personal and business statements can be mixed in the same batch. Other UK banks are in all bank guides.
- 3
Check the balance result
Opening balance plus payments in, minus payments out, must equal the closing balance. Rows that don't fit are flagged with their page number.
- 4
Export
Choose Excel, CSV with DD/MM/YYYY dates, Xero CSV or QuickBooks Online CSV.
Downloading HSBC transactions to Excel or CSV
For personal accounts, HSBC's own download is the quickest route for recent transactions. Choose the account, select Search and filter, set a date range (you can also filter by amount or keyword), select Search, then Download at the bottom of the list, pick Excel or CSV and select Continue. HSBC's online statements help page notes that these spreadsheet formats are only offered from the transaction list, not for statements, and it doesn't state a maximum date range.
Upload that file here and it uses no pages from your plan or page pack: you still get payee names, categories, Xero and QuickBooks exports. There's also a midata file under My Accounts → Manage → Documents, covering the 12 months ending 30 days ago, which HSBC says works from a PC or Mac only.
When the PDF statement is what you need
- Periods the download doesn't reach — statements go back up to six years in online and mobile banking.
- Statements from someone else. Accountants doing a Self Assessment return, or a broker preparing a mortgage case, usually get PDFs, not online banking access.
- The official figures. A statement carries the opening and closing balance for the period, so you can prove the transactions are complete — a list of transactions alone can't show that.
- Paper copies, which HSBC sends on request by phone, Chat or in branch — scan or photograph them and they convert like any PDF.
Missing a month? HSBC only produces a statement when there were transactions that month or the balance was negative, so a gap usually means a quiet month, not a lost file.
What the codes on an HSBC statement mean
Each transaction on an HSBC statement carries a short payment type code. HSBC explains them on its understanding your statement page; the common ones are:
| Code | Meaning |
|---|---|
| ATM | Cash machine withdrawal |
| BACS | Automated payment, such as salary or a supplier payment |
| CHQ | Cheque |
| CR / DR | Credit / debit |
| DD | Direct Debit |
| SO | Standing order |
| TRF | Transfer |
The code stays in the full description in your export, while the payee column gets a clean name — so you can still filter all Direct Debits, and categories are assigned from who was paid, not the code.
How an HSBC statement converts
The statement summary gives an opening balance, payments in, payments out and a closing balance; the transaction list shows payments out and payments in in separate columns with a balance column alongside. The balance isn't necessarily printed on every line, and descriptions often wrap onto a second line.
The conversion joins wrapped descriptions back into one row, turns the two amount columns into one signed amount (negative for money out), gives every row a full date and checks the statement against its opening and closing balance — and against the balance column wherever it's printed.
HSBC business statements into Xero or QuickBooks
HSBC Business Internet Banking keeps at least six years of statements under Manage Statements in the left-hand menu, but its transaction download covers only the period since the last statement. HSBC's help centre lists downloads for Quicken, QuickBooks and Microsoft Money, listing Quicken and QuickBooks versions from 2003–2006 as supported, plus spreadsheet formats.
To catch up the books for earlier months, convert the statement PDFs instead:
- Xero: export the Xero CSV, which uses Xero's statement import columns — see bank statements to Xero.
- QuickBooks Online: the QuickBooks Online CSV has just the three columns its bank upload reads — more on QuickBooks exports.
- Spreadsheets: Excel with a Summary sheet by category and month, or plain CSV.
