Convert CaixaBank statements to Excel

CaixaBankNow lets you search movements by date and request movement files under Descargar ficheros, but those files stay in the history for only 3 months — for past periods, the PDF extracto is what you have. Upload it here and get an Excel or CSV file with every movement, a category for each and a balance check against the statement.

Step by step

  1. 1

    Find the statement in CaixaBankNow

Log in on the web or in the app. Statements and bank letters are in MailBox → Correspondencia (correspondence); movements are under Cuentas → Mis cuentas (Accounts → My accounts).

  2. 2

    Upload the PDFs

Drop one extracto or a whole year. Password-protected PDFs, scans and photos work too.

  3. 3

    Let it read and check

Every movement is extracted, given a clean payee and a category, then checked: opening balance + money in − money out must equal the closing balance.

  4. 4

    Export

Download Excel, a semicolon CSV with DD/MM/YYYY dates, or a file for QuickBooks, Xero, OFX or QIF.

How to download CaixaBank movements and statements

CaixaBankNow keeps three different things, and it helps to know which one you need:

  • Movement search — Cuentas → Mis cuentas (Accounts → My accounts), choose the account, then Buscar movimientos (search movements) to list movements between two dates. The account screen also shows the last 20 movements.
  • Movement files — the account's Descargar ficheros (download files) section. Once you download a file, or a month after it was issued, it moves to Histórico de ficheros recibidos (history of received files), where it stays available for 3 months.
  • Statements and letters — MailBox, section Correspondencia, holds the bank's communications, including the yearly tax statements (comunicados fiscales).

CaixaBank describes the movement download and the MailBox in its CaixaBankNow digital banking FAQ (Spanish). Labels differ slightly between web and app.

Which formats CaixaBank offers (and how far back)

CaixaBank doesn't publish how far back the movement search reaches or which file formats personal accounts get. What is documented:

Norma 43 (Cuaderno 43) is the Spanish banking standard for account-movement files, and business customers receive it through CaixaBank's file service. We don't read it — use the PDF extracto instead.

When you need to convert the PDF extracto

The movement search covers recent activity. The PDF is what you need when:

  • The file history has expired — movement files stay in Histórico de ficheros recibidos for only 3 months.
  • You're an accountant or gestor working from extractos a client sent by e-mail, not from their CaixaBankNow login. See bank statement conversion for accountants.
  • Your bookkeeping software takes Excel or CSV, but the business download is a Norma 43 file.
  • You only have paper statements — a scan or a phone photo works the same way.
  • You also need the card statements (tarjeta de crédito) next to the account — see credit card statements to Excel.
  • A lender, landlord or tax adviser abroad wants a year of movements in one spreadsheet — see bank statements for a mortgage.

What's different about a CaixaBank extracto

Spanish conventions are where generic PDF-to-Excel tools and copy-paste usually go wrong:

  • Numbers use a decimal comma and a thousands dot: 1.234,56 €. An English-language Excel turns that into text or the wrong number.
  • Dates are day first: 05/03/2026 is 5 March, not May 3.
  • Two dates per movement — Spanish statements usually show the operation date (fecha de operación) and the value date (fecha valor). They can differ by a day or two around weekends, so reconcile on one of them consistently.
  • Signed amounts and a running balance — CaixaBank's guide to the extracto lists each movement with a positive or negative amount and the balance after it, framed by the opening and closing balance for the period.
  • Short, coded descriptions — card payments, transfers and direct debits (recibos) are abbreviated. We keep the full text and add a clean payee name.

Convert CaixaBank statements to Excel, CSV or accounting software

Upload the extractos and every movement is read and checked against the statement's own numbers: opening balance + money in − money out must equal the closing balance, and the running balance must agree on every row. A misread sign is corrected from the running balance, duplicate rows at page breaks are removed, and anything that still doesn't add up is flagged with its page number — a statement that doesn't balance uses no pages (up to 30 pages a month).

Then export what your next step needs:

  • Excel with real dates and numbers, plus a Summary sheet by category and month
  • CSV in Spanish regional format — semicolon-separated, DD/MM/YYYY dates — for Spanish accounting software that imports CSV, or comma-separated for English tools
  • QuickBooks Online CSV, Xero CSV, a .qbo file for QuickBooks Desktop, OFX or QIF for international bookkeeping

For expats and accountants outside Spain

If you live in Spain but file taxes, keep books or apply for a mortgage elsewhere, your reader may not read Spanish. The export keeps the original Spanish description next to a clean payee name and a category in your language, which you can rename to match your chart of accounts.

Select a year of extractos, or an account and a card, and export them into one file in date order, optionally limited to the tax year.

Questions

Can I download CaixaBank movements to Excel?

CaixaBank documents a movement download under Descargar ficheros in CaixaBankNow but doesn't publish which formats personal accounts get. If you have a CSV or Excel file, upload it — it uses no pages; otherwise convert the PDF extracto to Excel.

How do I convert a CaixaBank PDF statement to Excel?

Download the extracto from MailBox in CaixaBankNow, upload it here and choose Export → Excel. Every movement becomes a row with a real date and number, checked against the statement's balances.

Can you read Norma 43 (Cuaderno 43) files?

No. Upload the PDF statement for the same period instead, or a CSV or Excel download if your account offers one.

How long are CaixaBank movement files available?

Downloaded files stay in Histórico de ficheros recibidos for 3 months, and business customers can request duplicates for 3 months after a file is generated. For older periods, use the PDF statements.

Is it safe to upload CaixaBank statements?

The file is processed in memory and never stored, and we never ask for your CaixaBankNow login. See security.

What does it cost?

100 PDF pages cost $12 and never expire; CSV and Excel files use no pages (with a plan or page pack). You see the transaction count and balance check before paying — see pricing.
